Welcome aboard BNI Expo 2023 !

We are keen on making your participation at the BNI Expo stress-free & successful in every way. Towards that end, we request your cooperation and support as below :

1.) EXTRA ACCESSORIES

Please complete the process for visualization and design of your stall by your agency by the 10th of August. If you / your agency needs to know the exact dimensions of your stall, furniture, and accessories, Please CLICK HERE. For any modifications you may need in the standard structures that are provided by us, please call Mr. Padamsinh Deval for the same on 9423283800.

If you need assistance in designing your stall or if you need fabrication vendors for your stall, please CLICK HERE for a list of BNI members who you could hire to do this for you.

In light of the designs you envisage for your stall, do review the list of standard accessories like chairs/tables/lights/ power points etc that we provide to you as a part of your standard stall package. Due to logistic compulsions & constraints, we will accept orders for extra accessories only till the 18th of August 2023.

Additional equipment / accessories for outside third party vendors :

Please be informed that you may hire additional equipment / accessories needed by you directly from your own vendors, as long as they are compatible with our setup. For any such accessories you may hire from outside vendors, please intimate the same to our floor managers & security, and do comply with the safety & deployment instructions thereof.

2.) SCHEDULES

Please note the following SCHEDULES for BNI Expo :

a.) Construction Phase :

For BARE SPACE for Custom Stalls :

We will Handover bare space for custom stall construction around 11.45 am on the 1st of Sept 2023. All construction work will have to be completed before 11.45 pm on the same day. No construction activity will be allowed after that. This is in view of the fact that we need to do the rest of our work like matting, venue branding, housekeeping etc after we close access to certain routes / areas of the venue.

For Pre Constructed Octonorm Stalls :

We will Handover Octonorm stalls for branding & further finishing at around 04.45 pm on the 1st of Sept 2023. All construction work will have to be completed before 11.45 pm on the same day. No construction activity will be allowed after that.

ACCESS FOR LOADING / UNLOADING:

Please note that vehicles carrying your goods / equipment will be allowed only till the main gate of the expo, and will have to be carried further manually. No vehicle is allowed on the turfed area in the Saaj lawn. Please CLICK HERE to refer to a map indicating ideal logistics for your goods & the schedules thereof.

b.) Operations Phase :

The exhibition will be open to the public from 8 am to 9.30 pm on 2nd & 3rd September 2023. Power to stalls will be shut off at 10.30 pm. Only basic lights will remain on throughout the night.

c.) Dismantling and Clearance Phase :

All dismantling and clearance will have to be completed by 8 am on the 4th of September 2023. Considering logistical compulsions and constraints, any residual dismantling and clearance after this time will be done by our vendors in a manner that they deem fit and the cleared material will be disposed of as they deem fit.

Basic lighting will be available for construction activity and for the dismantling and clearance activity during the night only as per schedule.

All staff of stall holders and their contractors should wear duly issued identification badges always.

All the schedules for construction mentioned herein are tentative and final schedules will be updated here nearer to the construction date depending on the activities at the venue on the days preceding the event. Please visit this page again for updates.

3.) SAFETY & SECURITY

POWER SAFETY:

Stall holders will themselves arrange for power conditioning equipment and power safety equipment for all their gadgets and machines used in their stalls. The organizers or event managers will not be responsible or liable for any damage to this account.

SECURITY:

Though the venue and organizers have arranged enough security, the organizers are themselves responsible for the safety of their goods and equipment at all times.

INSURANCE:

Stall holders will arrange for insurance for all their setup, equipment & manpower against all risks as required, as they deem fit, of their own accord, and at their own expense.

CONSTRUCTION CONTRACTORS RESPONSIBILITY AND LIABILITY :

Constructions contractors of stall holders will strictly adhere to the schedules and to all instructions issued by the organizers and the event managers. Stall holders will be responsible for any damage to the property of the hotel or of the event management company and their vendors, by the construction contractors of the stall holders & their vendors.

Make sure that the equipment you use for making your trade show booth is sturdy and stable. Avoid using flimsy or makeshift equipment that could collapse or tip over and cause injury. Ensure that all equipment is properly secured and that electrical cords are not a tripping hazard. It's important to keep the walkways around your trade show booth clear and free from obstructions. This will help prevent accidents and ensure that visitors can easily navigate the exhibit space. Please cooperate with our safety inspection personnel in ensuring the safety of all concerned.

Basic lighting will be available for construction activity during the night. All staff of stall holders and their contractors should wear duly issued identification badges always.

All the schedules for construction mentioned herein are tentative and final schedules will be updated nearer to the construction dates.

4.) IMPORTANT INSTRUCTIONS REGARDING PASTING / BRANDING

1. Flex bond, any type of glue, Fevicol or Fevikwik, Rubber Solution, 3M transparent tape (two-sided tape), etc. are strictly not allowed for any kind of pasting on panels and Octonorm Aluminum sections. Nails or Screws are not allowed to use on partition sheets.

2. If any exhibitors are using vinyl branding pasted on our panels, then only LG or 3M Branded vinyl is to be use for branding. The pasting should be done without gum or shampoo. Gum or Shampoo should not be used. Only dry pasting is allowed. ( eco-solvent dry pasting )

Damage to any Octonorm structure elements, including panels, due to above and other reasons, will be fully chargeable to the stall holder via the organizer / BNI committee. Damage to panels will be charged to the exhibitor at an rate exceeding INR 2500 per panel.

3.) The height for branded partitions for standard configuration octonorm stall shall not exceed 8 feet. However, pylons, standees, screens & screen stands, and other free-standing branding elements can have a height of around 13 feet with prior approval if the same are contained inside the stall with a gap of at least 1 foot on all sides of the common borders/partitions of the stall.

All Branding material & Accessories should be strictly contained inside the stalls. Please do not use or occupy space outside of the stall.
